To Use Kitting
Once you’re running the Order Entry program, select Edit Inventory Data from the File Maintenance pop-down menu. If you have already entered the Item that you want to be a kit use the “Find an Item” button to put it’s data in the form. If you need to create the item, click on the “Add an Item” button. When specifying the kit’s data make sure to check the box “This Item IS a KIT” and “NOT Depletable”.
Once you first click the “This Item IS a KIT” button the kit is added to the Kit file. This means you can find it when you select Edit Inventory Kits from the File Maintenance pop-down menu. If another kit shows up on the form when it opens, you can click on the “Find a Kit” button to locate the Kit Item that was just marked.
When you find a Kit Item that was just created, the Component Item will be blank.
You are now ready to fill in the information for the first component item.
With your Kit showing in the Kit Item Number and Description fields and the Component Item Number and Description fields blank you are ready to fill the component information. Click on the “Find An Inventory Item for this Entry” button to select your component. Once your Component Item number and description show up, you should specify how many of these components are needed in the kit. You should also specify if you want to zero the price of this item when including it as a component in this kit - - this will allow you to set the price for the kit with the kit item and not have component prices effect it. You can also specify that you don’t want to show the component on an invoice - - this means in it will show up on your order and on pick lists, etc. but will not show up on the invoice. This option allows you to keep specific details about what is needed and what is to be delivered, etc. but not confuse your customer with these details. Once you have entered this data you are ready to add another component item if necessary.
The first time you go to a newly created kit there is already a blank component item entry available. To add another item you first need to create a blank item. To do this click on the “Add a Blank Entry into This Kit”. Once the blank component item entry is showing you can proceed with the steps described in the paragraph above this one.
When the last component item has been specified you should click done and close the File Maintenance Form for Kits.
To use the kit in an order, click on Find Customer at the top left. After the customer data is filled in press F4 to go to the next form containing delivery information. Press F4 again to go to the Order Information Form. Press F4 again and you are ready to enter an item. Note that when you entered the Order Information Form the current date is set for the delivery and when you leave the form next Monday is set as the return date.
In the Line Items Screen you should be in the Item column. Note you do not have to capitalize letters when entering an item number. Type the item number for the kit. A new form will appear asking how many of these kits you want to enter in the order. Type the number and press Enter. The kit components will appear on the subsequent lines of the order after the one for your kit.
Once the items are in the order they are treated as any other item. Kits are just special ways to have the items automatically entered with a few special options about how they are entered.
Note that there are some other features available when using the File Maintenance Form for Kits. You can use the Previous and Next buttons to look at entries. Entries are in order first by the Kit Item Number, then by the Sequence Code and then by the Component Item Number. Items do not remain in the order you enter them. To make items appear in a specific order you need to fill in the Sequence Code. The Sequence Code was created so you can group items together and put them in the order you desire. You can Show / Print a report of the kit that is showing in the form. The report will show the component items in the order described above. You can erase the entry that is showing. You can also remove entries that have been erased - - just to keep down the clutter and confusion of unused data.
